BeautyOS Studio - Shared Data Ownership Model
Effective date: 1 February 2026
1. Overview
BeautyOS Studio ("BeautyOS", "we", "us", "our") provides software and digital infrastructure to independent businesses ("Participating Businesses") to manage bookings, customers, payments, communications, subscriptions, and related business operations.
This Privacy Policy explains how personal information is collected, used, stored, and shared under BeautyOS Studio's shared first-party data ownership model.
By using a Participating Business that operates on BeautyOS Studio, or by interacting with BeautyOS-powered systems, you acknowledge and consent to the practices described in this policy.
2. Who Owns the Data
Personal information collected through BeautyOS Studio is co-owned by the Participating Business you engage with directly and BeautyOS Studio as the platform provider and system operator.
Both parties act as first-party holders of the data. BeautyOS Studio does not sell personal information to unrelated third parties.
3. Platform Identity - BeautyOS ID
BeautyOS Studio operates a platform-wide customer identity known as a BeautyOS ID. This identity allows users to authenticate across multiple Participating Businesses using the BeautyOS platform without creating a separate account for each business.
The BeautyOS ID is managed by BeautyOS Studio and supports secure login, continuity of service, fraud prevention, platform support, analytics, and platform-related marketing.
Participating Businesses do not automatically gain access to each other's customer records unless the user independently engages with those businesses.
4. What Information We Collect
Information may include identifying details, contact information, booking and service history, subscription and attendance records, payment metadata, communications, preferences, and technical data such as IP address and device information.
5. How Information Is Used
Personal information may be used jointly by the Participating Business and BeautyOS Studio to deliver services, manage bookings and payments, communicate with users, provide support, meet legal obligations, and improve platform functionality.
Where practicable, analytics and insights are generated using aggregated or de-identified data.
6. Artificial Intelligence (AI)
BeautyOS uses artificial intelligence (AI) technologies to assist with the delivery and improvement of our services.
AI may be used to support features such as customer communications and messaging; appointment scheduling and booking assistance; workflow automation; customer support; business insights and reporting; document generation and summarisation; fraud prevention, quality assurance and operational monitoring.
Where AI is used, it generally processes information that has already been provided to BeautyOS as part of the normal operation of the platform. AI is used as a tool to assist our services and does not make legally binding decisions on behalf of our customers.
We take reasonable steps to ensure appropriate safeguards are in place when AI technologies are used. Information processed through AI is handled in accordance with this Privacy Policy and applicable privacy laws.
We may use AI services provided by trusted third-party technology providers. Where this occurs, we take reasonable steps to ensure those providers are subject to appropriate contractual, security and privacy obligations.
As AI technology continues to evolve, we may introduce new AI-assisted features. Any such use will remain subject to this Privacy Policy.
AI may initiate or recommend automated workflows configured by the merchant. Merchants are solely responsible for assessing, enabling, securing and monitoring their own AI integrations, credentials, access permissions and automated workflows. BeautyOS is not responsible for the security practices, configuration, availability or actions of third-party AI services selected or enabled by a merchant.
7. Platform-Related Marketing & Offers
BeautyOS Studio may use personal information internally to promote, recommend, or advertise goods and services offered by Participating Businesses, and to present relevant offers within the BeautyOS platform ecosystem.
This marketing activity is limited to platform-related goods and services and is conducted in accordance with Australian privacy and spam laws. Users may opt out of marketing communications at any time.
8. Third-Party Services
Trusted service providers may be used for payments, messaging, hosting, and infrastructure. These providers receive only the information required to perform their services and are contractually required to protect personal data.
9. Data Security & Storage
Reasonable technical and organisational safeguards are implemented to protect personal information. No system can guarantee absolute security, but data protection is treated as a core responsibility.
10. Access, Correction & Complaints
Users may request access to or correction of their personal information by contacting the Participating Business or BeautyOS Studio.
Privacy complaints can be directed to privacy@beautyos.com.au.
11. Retention
Personal information is retained only for as long as necessary to deliver services and meet legal or operational requirements. Data is securely deleted or de-identified when no longer required.
12. Changes to This Policy
This policy may be updated from time to time. The current version will always be made available through BeautyOS Studio channels.
